The Operation Specialist role is responsible to ensure a good logistic performance and customers service from and to Turkey. This role will be coordinating contacts with colleagues at different levels and in different countries so that the operation will run perfectly.

İŞ TANIMI

Reporting to the General Manager of the turkey office, Operation Specialist will be responsible from the following; 

- Responsible for all operational activity in Turkey assigned to him/her and regions where the company does not have an own branch. In his/her function he/she is responsible for all activities in that (those) region(s);
- Bears joint responsibility for the optimum service quality of the company;
- Is jointly responsible for the implementation of the transport assignment;
- Is responsible for the execution and optimisation of the (Long Term Material Planning) MMP plan to be implemented, while taking account of the principal’s wishes;
- Ensures the correct input of the assignment data into the Transport Management System (Transfusion). Monitors the progress of the execution of the job (trip), takes prompt action if necessary;
- Will collect, register and charge extra expenses and documentation (CMR, invoices, etc.) related to the order.
- Informs the MMP Planner, Account Manager and Country Teams on changes, deviations and possible optimisation in the planning;
- Is responsible for the complete administrative processing of transports in Transfusion according to procedure.
- Continually optimises the logistic process by participating in improvement projects;
- Is responsible for the planning of sub-contractors and shipment-bearing material;
- Provides instructions for the sub-contractors in relation to the implementation of the assignment through Transfusion;
- Monitors the progress of the implementation of the order and adapts the planning within the established framework if necessary;
- Is in consultation with Fleet Management responsible for the availability of material for maintenance and inspections;
- Liaise with rail and ferry operators with regard to the execution of the order and instructs rail and ferry operators in case of prioritisation of container shipments;
- Is responsible for informing the customer and representing his interests. Ensures that appropriate action is taken if necessary to protect those interests;
- Monitors the gross margin of his accounts at trip level according to Job Financials, and discusses the results with customers, the operational teams concerned and Commerce and Procurement. Initiates follow up on additional action for improvement and optimization.
- Supports and assists the company in collecting outstanding receivables;
- Records the performance at trip level in Transfusion in accordance with the ECTA standards. Reports to customers according to agreed procedures and responds to complaints, in consultation with the Commercial Manager;
- Is co-responsible for the contract performance of the companyand takes prompt action to assure and improve the performance.
- Notifies stakeholders on delays, changes, deviations and possible optimisation of the transportorder;
- Is responsible for and monitors the pre-booking and departures of ferry and rail modalities;
- Reports service information and performance information of rail and ferry operators to Procurement;
- Prepares, in cooperation with Procurement, claims in case of under performance by rail and ferry operators;
- Support the development of existing and new customers by working closely with General Manager and the entire commercial team;
- Collaborate and build relationships with customers, prospects, agents, carriers and service providers to strengthen service competitiveness;
- Investigates, collects & provides sea freights, local port charges, trucking & other costs upon request.
